Registration Procedure
The registration procedure has two stages. First, the applicant completes the online registration form which includes contact and education details as well as an optional contribution to the symposium (poster or short talk, see below). An automated e-mail will be sent to the registrant to confirm that their registration was successfully submitted. Registration is open from May 20th to September 7th 2008. After closure of the online registration, the organizing committee will review the registrations and select 150 participants. By September 7th, every registrant will receive an email from the organizing committee to inform him / her about the outcome of the selection procedure. By September 15th, accepted applicants must confirm their attendance and pay the registration fee (please see reimbursement section
). Furthermore, participants submit information for travel refunding and accommodation arrangements; this information will be accessible for revisions and updates until September 30. After this deadline, no changes or refundable cancellations will be possible.
Payment Procedure
Shortly after the selection of participants (see above), the accepted registrants will be prompted by the organizing committee to log in again in order to pay the registration fee of €100. Payment can only be made by a valid credit card. Accepted credit cards include American Express, Visa and MasterCard. The credit card information is transmitted by an encrypted secure connection and is stored in an encrypted form.
Reimbursement
The symposium has sponsorship from several sources. Therefore, most expenses, including travel (fixed maximal amount depending on distance), accommodation and meals for up to 150 participants can be partly covered. Travel expenses are refunded durin or after the symposium. In case the registrant does not attend the symposium, neither the registration fee of €100 nor travel expenses will be reimbursed.
In case there is money left after reimbursement of refundable travel expenses, the registration fee will be partly refunded for selected participants. Participants presenting a short talk or poster have a better chance of being selected for registration fee reimbursement.
Eligibility
Young researchers who obtained their undergraduate degree less than 10 years ago (with priority given to those who obtained their undergraduate degree less than 4 years ago) will be supported. Anyone with research experience that fits into the time frames mentioned is eligible for participation/reimbursement. The organising committee aims to ensure equal participation in the symposium of researchers from different countries.

Posters and Abstracts
We would like to encourage the participants to present a poster, regardless of their field of research. Prizes will be awarded to the best three posters. The poster size should be A0 (841mm x 1189mm), portrait orientation. Submitted abstracts should not exceed 1500 words. You can submit and edit your abstract also after registration. Deadline for submission of abstracts is September 30. The organizing committee will select the posters that will be displayed at the symposium.
Short Talks
We encourage all registrants to apply for a short talk. In total, six short talks will be selected. The presentation should not last longer than 10 minutes, and will be given in a separate session. You may choose to give a talk in addition to, or instead of, a poster presentation. As with posters and abstracts, you can choose to give a short talk or modify your choice after the initial online registration has been completed. Final selection of talks will take place on October 5th.
Accommodations
During the initial registration procedure, you are offered the option "hotel accomodation not required". We included this options for participants who can and wish to organize private accommodation in Heidelberg. Choosing this option will greatly increase the chance for you (in particular) and all the other participants that we have funds left to reimburse the registration fee.
Security Concerns
The information entered in the registration pages is transmitted to us by an encrypted secure connection. This effectively means that no people or third parties can see the information sent to us.
If in doubt about security issues, you are encouraged to contact us.
